We are seeking a highly motivated and organised Office Administrator/Scheduler to join our team. You will play a key role in the smooth day-to-day running of the office while coordinating maintenance works and supporting both our engineers and management team. This role involves balancing administration with scheduling responsibilities, ensuring that planned and reactive works are delivered efficiently and on time.Responsibilities

Plan and co-ordinate maintenance works including pre- and post-inspections, repairs, voids, and emergency call-outs.Manage engineers'' diaries, prioritising urgent and emergency works.Book appointments and allocate work to engineers, tracking progress from start to completion.Raise repair jobs, liaising with tenants, clients, and engineers to ensure works are completed within the agreed timescales.Knowledge of NHF Schedule of Rates codes for job allocation and reporting.Handle incoming calls, emails, and correspondence, directing them appropriately.Maintain office filing systems (digital and paper-based).Organise meetings, appointments, and schedules for management and staff.Prepare documents, reports, and presentations as required.Order and manage office supplies, PPE, and other essentials.Update spreadsheets.Support HR tasks such as onboarding, maintaining personnel files, and monitoring absence/holiday records.Assist with financial administration such as invoices, expenses, and petty cash.Provide general support to the management team and wider staff as needed.Skills and Qualities

Proven experience in planning and scheduling works.Knowledge and experience of working or liaising within the social housing sector (desirable).Strong organisational and multitasking abilities.Excellent verbal and written communication skills.Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and general IT systems.Attention to detail and accuracy.Ability to work independently as well as part of a team.Professional, approachable, and proactive manner.Strong problem-solving ability and initiative.Qualifications and Experience

Previous experience in an administrative, scheduling, or office support role (essential).Knowledge of office procedures and systems.GCSEs (or equivalent) in English and Maths essential: additional qualifications in administration desirable.
