The Role
In this hybrid position, you''ll be the go-to person for all things operations - the one who makes the office hum, keeps executives organised, and ensures the team stays connected and inspired.
You''ll blend office management, executive assistance, and event coordination in a role that''s as varied as it is rewarding.
Key Responsibilities
Office Management
- Keep the London office running seamlessly - from facilities and supplies to a warm, welcoming atmosphere.
- Be the central contact for building management, suppliers, and vendors.
- Manage logistics such as meeting room bookings, deliveries, and health andamp; safety compliance.
- Support onboarding for new hires and ensure they feel part of the team from day one.
- Provide light-touch operational support to the organisation''s New York office - connecting teams across time zones.
Executive Support
- Provide proactive, high-level support to the CEO and executive team.
- Juggle complex calendars and coordinate meetings across multiple time zones.
- Manage domestic and international travel - ensuring every detail runs like clockwork.
- Prepare meeting materials, capture minutes, and keep track of follow-up actions.
- Handle confidential information with professionalism and discretion.
Events andamp; Team Operations
- Bring creativity to internal and external events - from client functions to team offsites and social get-togethers.
- Manage logistics, budgets, and vendor relationships to deliver seamless, memorable experiences.
- Support internal communications and culture initiatives that foster connection and engagement.
- Contribute to cross-functional operational projects that drive efficiency and collaboration.
About You
- Exceptionally organised, detail-oriented, and dependable - you''re the person everyone relies on.
- A natural problem-solver who stays calm, resourceful, and upbeat under pressure.
- Confident communicator, comfortable liaising with everyone from the CEO to new starters.
- Tech-savvy and adaptable - you know your way around Google Workspace, Slack, Notion, and Zoom (or similar).
- Experienced in office management, events, or executive support within a fast-paced, creative, or tech environment.
