Job title: Head of Finance

Main purpose of job: to ensure the successful management of Make it York''s finance function.

Position reports to: Managing Director

Position is responsible for: Finance Executive

Main duties

- Effective management of the Finance teams budget, to achieve the objectives set out in MIY''s business plan including monitoring and controlling of costs and expenditure including staff costs.

- Work with Make it York''s (MIY''s ) Executive team to improve our financial and budget management procedures, so we spend our resources more effectively to do more with less.

- Tender our audit/external accounting services in 2022.

- Review our finance systems and identify a better platform.

- Create a transition plan to migrate the finance systems with minimal disruption to day to day operations both within the finance team and MIY as a whole.

- Implement a clear tendering and commissioning process that is open and transparent and gets value for the City.

- Responsibility for the production of monthly management accounts whilst adhering to the monthly reporting timetable.

- Maintain MIY''s finances and the current accuracy and integrity of transactions within the current Sage accounting system.

- Management of MIY''s regular financial transactions including the creation of invoices, paying invoices, payroll, reimbursing staff expenses and bank reconciliation.

- Oversee and ensure the smooth running of the year end, including the audit process.

- Ensure all balance sheet reconciliations are completed

- Collate financial data and reports to support fundraising bids for MIY, as required.

- Continually identify and implement process improvements, controls and procedures, to create efficiencies and reduce costs.

- Manage the budgeting and forecasting process, including variances and to oversee the cash flow forecasting.

- Oversee the development of an effective procurement procedure, help secure value for money and promote fair and transparent procurement, including relevant delegated authority amounts for MIY employees and to and to develop and utilise a tender process to award major contracts to suppliers.

- Support the Manging Director with the creation, control and monitoring of budgets to ensure financial viability of all events and MIY.

- Recommend new bank accounts, finance options or credit cards which can help to improve MIY''s financial situation

- Provide the Manging Director with a financial analysis to increase revenue or decrease expenditure

- Keep up to date of any financial regulations and legalities and working within them.

- Lead a team in an entrepreneurial, collaborative, respectful and ambitious way and personally demonstrate MIY''s values and behaviours.

- Ensure that all Health and Safety regulations and relevant risk assessments are followed within the Finance team.

- Build and lead a high performing Finance team, utilising the relevant people policies contained within the Staff Handbook, with the support from the Managing Director, where needed.

- Provide support and guidance to all MIY team members, where necessary.
