Under limited direction, provide administrative support to the Global Co-Head of MandA. Duties are complex and highly confidential in nature requiring a great use of discretion. The role will include extensive client interaction and liaison at CEO / Chairman level as well as regular contact and communication with high-level management both within Citi and externally.Responsibilities

Complex calendar management using own initiative and exercising own judgementScreen calls/incoming mail – be an effective gatekeeper; take messages efficiently and accuratelyMonitor and ensure implementation of company policyCompose and prepare internal/external correspondence in addition to maintaining, answering and routing correspondence not requiring manager’s attentionCoordinate all aspects of executive level manager appointments, meetings, receptions and conference/video callsAssist with creation / modification of presentations, spreadsheets and other various documentsCollation and preparation of expense receipts and supporting documentation for Mumbai team processingCoordinate travel arrangements, understanding executive’s travel preferences and needs, using initiative in managing itinerary times and costings. Arrangement of Visas where required.Create and maintain correspondence and record filesAssist and fill in for other support staffTrain, coach or guide other administrative staff where requiredAssist with any other ad hoc reports and special projects as requiredRun and review weekly and monthly client tracking reports on internal reporting systems ensuring deadlines are metAssist in organising group morale events and franchise partiesAssist with Client events where requiredEnter and manage client meetings via internal CRM applicationAppropriately assess risk when business decisions are made, demonstrating particular consideration for the firm’s reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgement regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparencyMay prepare and review materials and correspondence for meetingsPrepares, reconciles and tracks expense reportsDevelopment Value

Proven experience of operating all office equipment and ability to train others in use of the sameSubstantial experience of operating in a similar role in a professional services environment, ideally within IB.Proven experience of adapting to changing circumstances, responding to varying business needs and prioritiesDemonstrable experience of working effectively in a high-pressure and challenging environmentSkills

Highly proficient in MS Office applications, including use of Outlook as a business toolStrong IT skills; experience of internal Citigroup applications an advantageStrong interpersonal and organizational skillsConsistently demonstrates clear and concise written and verbal communications skills.Attention to detailAbility to multitask effectively and efficiently and meet all expected deadlinesAbility to take unexpected eventualities in their stride, and to cope well under pressureSelf-motivated and detail orientedExcellent organisational skills, with strong background in managing multiple prioritiesCompetencies
